Cancelation and No-Show Policy

We understand that life can sometimes present unexpected circumstances that may require you to reschedule or cancel your acupuncture or massage appointment. To ensure the smooth operation of our practice and accommodate the needs of all our clients, we have established the following cancellation and no-show policy:

  1. Cancellation: If you need to cancel or reschedule your appointment, we kindly ask that you provide at least 24 hours' notice. This allows us to offer the appointment slot to another client who may be in need of services. Appointments canceled with less than 24 hours' notice may be subject to a cancellation fee.

  2. No-Show: A "no-show" occurs when a client fails to arrive for a scheduled appointment without prior notice. In the event of a no-show, the client may be charged a fee equivalent to the full cost of the missed appointment. This is at the discretion of the therapist whether you are charged.

We understand that emergencies and unforeseen circumstances may arise, and exceptions to this policy may be made on a case-by-case basis at the discretion of our clinic. We appreciate your cooperation in adhering to our cancellation and no-show policy, as it allows us to better serve all of our clients effectively. Direct Billing 

Minerva is pleased to offer direct billing for massage therapy and acupuncture services, making your experience as convenient as possible. To ensure compliance and maintain the integrity of our billing practices, please review the following direct billing policy.

  1. Eligibility: Direct billing is offered to clients whose insurance providers support this service. Clients are responsible for verifying their coverage and confirming that it includes the specific services (massage or acupuncture) they are seeking.

  2. Billing for the Individual Receiving Treatment: In compliance with industry standards and insurance policies, Minerva strictly bills only for the individual receiving treatment. Each session is documented in the name of the actual recipient, and no substitutions or transfer of benefits to family members or friends are permitted. This policy is non-negotiable and is necessary to uphold the integrity of our practice.

  3. Client Responsibility for Remaining Balances: While Minerva will submit claims to insurance providers on your behalf, any portion of the fee not covered by insurance remains the client’s responsibility. This includes co-pays, deductibles, or any rejected claims.

  4. Payment at Time of Service (If Direct Billing Fails): If, for any reason, direct billing is unsuccessful or declined by the insurer, clients are required to pay for the session at the time of service. A detailed receipt will be provided, which can be submitted independently to the insurer for reimbursement.

  5. Documentation and Confidentiality: Minerva maintains detailed records of all treatments for direct billing purposes. All documentation aligns with the insurer’s requirements, ensuring claims are substantiated. Client information is handled with the utmost confidentiality and is shared only with authorized insurance providers.

  6. Cancellation and No-Show Fees: Any cancellation or no-show fees are the client’s responsibility, as insurance providers do not cover these charges. Cancellations within 24 hours of the scheduled appointment will incur the full treatment fee.
